Copy-Paste Review Responses Are Worse Than Not Replying at All

Review Management, Customer Experience, Reputation
"We're sorry to hear about your experience, please contact us" under every single review — good and bad — doesn't read as responsive. It reads like nobody is actually reading these.
I pulled up a client's Google profile last year and found the exact same forty-word response under eleven different reviews, word for word, punctuation and all. Five-star reviews got it. One-star reviews got it. A future customer scrolling through can see the pattern in about four seconds, and what it tells them is that nobody on the other end actually read what they wrote.
What a template actually signals
A templated reply optimizes for the appearance of responsiveness without the substance of it. The intent is usually good — reply to everything, don't leave anyone hanging — but the execution tells a stranger reading it later that this business treats feedback as a box to check, not as information. That impression lands on every reader after the one who wrote the original review, not just the one it was meant for.
The response that costs about the same effort
Naming one specific detail from the review — the technician's name, the exact service, the day of the week — turns a forty-second copy-paste into a fifteen-second read that actually sounds like a person wrote it. It costs almost the same time. It reads like an entirely different business.
Where templates are genuinely fine
A consistent opening line is fine — "Thank you for taking the time to leave this" works for almost anything. The problem isn't structure. It's the response staying identical from the greeting through the very last word, with nothing in the middle that couldn't have been copied onto a review for a different business entirely.
Read your last five responses as a stranger would
Pull up the last five reviews you replied to and read only your responses, back to back, ignoring what the customer wrote. If you can't tell which response belongs to which review without scrolling back up, a stranger reading your profile won't be able to either.
